Use budget control on a purchase order [AX 2012]

This scenario explains how to use budget control when you create a purchase order. In this scenario, the Department and Cost center dimensions were defined for budget control and purchase orders were enabled for budget control. The budget control configuration has been activated and turned on. For more information, see Set up budget control<http://technet.microsoft.com/en-us/library/hh242453.aspx>.

You could start a similar scenario by creating a purchase requisition and converting it to a purchase order.

A budget register entry was submitted to establish a budget amount for Department 010 and Cost center 0101. You can view the budget balances for the department and cost center before you create the purchase order. In the Budget control statistics form, you would select the budget cycle and financial dimension values for the department and cost center.

1. Click Procurement and sourcing > Common > Purchase orders > All purchase orders.

2. On the Action Pane, click Purchase order to create a purchase order.

3. Select a vendor account.

4. On the General FastTab, verify the accounting date. The account date determines the fiscal period for the budget check. The current date is the default date, but you can change this.

In the budget control configuration, the budget control interval was set to Fiscal year so that the budget amounts for the fiscal year aggregate for the budget check.

5. Add a line to the purchase order and enter information in the required fields, such as Procurement category, Quantity, and Unit price.

6. Click Financials > Distribute amounts and enter the accounting distributions in the Ledger account field. For example, you might enter 606300-010-0101.

7. Close the Accounting distributions form.

If the Enable budget control for line item on entry check box was selected in the Select source documents area of the Budget control configuration form, a budget check icon is displayed on the purchase order line. If the Enable budget control for line item on entry check box was not selected, you can click Financials > Perform budget checking to perform a budget check on the whole purchase order.

Budget checking is performed on all lines when the purchase order is confirmed and when the purchase order is submitted to a workflow, and then again when the purchase order is approved in a workflow.

8. Click Budgeting > Inquiries > Budget control statistics. Select the budget cycle and the financial dimension values for the inquiry. For this example, you would select 010-0101 as the dimension values.

The amount of the purchase order line is displayed in the Budget reservations for encumbrances field in the grid.

9. Click Encumbrances.

The Budget reservations for encumbrances form shows detailed information about the purchase order transaction. This includes the status, which is Draft. After the purchase order is confirmed, the status changes to Confirmed.

When the invoice is received and entered, the fields in the Relieved amounts this period grid in the Budget reservations for encumbrances form are updated with information from the invoice. A budget reservation for the actual expenditure is also created.

Budgeting configuration keys

Budgeting includes three primary configuration keys. The Budget configuration key enables basic budgeting. The Budget control configuration key adds budget control to basic budgeting. And the Public Sector configuration key adds two budget types to basic budgeting that are used by public sector organizations.

Other configuration keys might implement additional budgeting features and features that are related to budgeting requirements in specific countries/regions.

Basic budgeting includes financial dimensions that are defined for Budgeting, budget register entries, and Budgeting workflows.

Budget control is used together with basic budgeting. Budget control includes budget types for pre-encumbrances and encumbrances, budget checking for source documents and accounting journals, and features such as financial dimensions that are defined for budget control, over budget permissions for user groups, and the budget funds available calculation.

The public sector configuration includes the Preliminary budget and Apportionments budget types.

To use budget control, you must set up basic budgeting. If you are using the public sector configuration, you set it up at the same time as you set up basic budgeting.

Create a purchase order from a sales order [AX 2012]

Use this procedure to create a purchase order that is based on a sales order. When you create the purchase order, it reflects the products that you need to purchase in order to fulfill the sales order.

1. Click Sales and marketing > Common > Sales orders > All sales orders. Select the sales order to create a purchase order for, and then on the Action Pane, on the Sales order tab, in the New group, click Purchase order.

Click Accounts receivable > Common > Sales orders > All sales orders. Select the sales order to create a purchase order for, and then on the Action Pane, on the Sales order tab, in the New group, click Purchase order.

2. The Create purchase order dialog box lists all open sales order lines and includes the preferred vendors. In the Vendor account field, change the vendor account number, if a different account number is required.

You can set up a preferred vendor for an item in the Released products form. On the Plan tab, click Item coverage to open the Item coverage form. Here, you can set up the item per site, warehouse, location, color, size, and configuration.

3. Select the Include check box to select the lines to generate purchase orders for. To select all lines, select the Include all check box.

4. Click Adjust quantity to within permitted range to adjust the ordered quantity so that it matches the minimum or maximum quantity that is specified for the item.

5. Click Search for purchase agreements to search for valid purchase agreements that you can base the new purchase order on.

6. Click Validate to validate the lines that you have selected for the purchase order.

7. Click OK to generate purchase orders based on your selections. Microsoft Dynamics AX creates one purchase order for each vendor account that is specified for the selected sales order lines.

Each purchase order line is associated with the sales order line that led to the purchase. On the sales order line, the relation to the purchase order is indicated on the Line details FastTab, on the Product tab, in the Reference lot, Reference type, and Reference number reference fields. This relation guarantees that the costs from the current purchase are charged on the attached sales order.

To create a direct delivery from a vendor to a customer, on the Action Pane, on the Sales order tab, click Direct delivery. In the Create direct delivery form that is displayed, the Transfer delivery address check box is selected and is for information only.

Create a purchase order [AX 2012]

Use this procedure to create a purchase order with all the information that you need to purchase specific products at a specific price or for a specific delivery date from a vendor.

1. Click Procurement and sourcing > Common > Purchase orders > All purchase orders. On the Action Pane, on the Purchase order tab, in the New group, click Purchase order to create a new purchase order.

2. In the Create purchase order form, select a vendor account.

o Click Yes to copy vendor information such as the address, delivery address, currency, invoice account number, and language to the purchase order.

o Click No to create the new purchase order without copying previous vendor purchase information.

3. On the General FastTab, in the Purchase type field, select the type of purchase order to create.

4. Enter or modify the rest of the information in the Create purchase order form if you have to, and then click OK. The new purchase order is displayed.

If a purchase agreement exists for the selected vendor, you can order against the purchase agreement. Purchase agreements are available in the Purchase agreement ID field.

5. In the Purchase order lines grid, click Add line or press CTRL+N to create a new purchase order line.

6. At a minimum, specify an item or a procurement category, a purchase quantity, a unit of measure, and a unit price on the purchase order line.

7. On the Line details FastTab, on the Delivery tab, enter a delivery date in the Delivery date field. If the purchase order is based on a purchase agreement, the delivery date must be in the validity period of the associated purchase agreement line.

8. If the purchase order is for a fixed asset, use the Fixed assets tab on the Line details FastTab to enter an existing fixed asset number. You can also create a new fixed asset here.

9. Click Add line or press CTRL+N to create additional lines for the purchase order.

* To create accounting distributions for a purchase order line, select the line. Then, on the Action Pane, on the Financials tab, click Distribute amounts.

* To view subledger journal lines, select the line. Then, on the Action Pane, on the Financials tab, click Subledger journal.

* If you enable committed costs for purchase orders on the Cost control tab of the Project parameters form, and if you enable budget control for the project on the Setup tab of the Project details form, the purchase order is subject to budget control for the project. If workflow is implemented, the project budget is checked when each line is saved, but it is not reduced until the purchase order is approved.

* If you turn on budget control, and you select Purchase orders and Enable budget control for line item on entry in the Select source documents area of the Budget control configuration form, the first column in the Purchase order lines grid in the Purchase order form displays a budget check icon. A red X indicates that the budget check failed, a yellow triangle indicates that the budget check passed with warnings, and a green check mark indicates that the budget check passed. This column is blank if budget checking is not performed. Budget check results can be affected by settings for project budget control, over-budget permissions, and other budget control parameters and settings.

* To display inventory dimensions on the line in the Purchase order lines grid, click Purchase order line > Dimensions.

About the Configure account structures form [AX 2012]

A relational chart of accounts uses an account structure that requires that
you set up valid accounts and financial dimension values, and then set up
rules to specify how the accounts and dimensions will come together to
create account structures. Setting up valid combinations helps make sure
that data entry is accurate.

You can use the Configure account structures form to create one or more
account structures. Account structures consist of main accounts and can
include financial dimension segments. The account structures are used to
define the valid combinations which, together with the main accounts, form a
chart of accounts.

You can view the whole account structure, which includes the valid
combination of values that can be entered in a dimension, in the following
ways:

* Horizontally - View the columns that show the dimensions that make
up the structure.
* Vertically - View the hierarchical visualization of the rules that
describe how the combinations behave.

When you use multiple account structures, you can track information for
specific accounts without affecting information in other accounts.

Here are all the steps which I've followed to upgrade the Microsoft Dynamics
GP 10 to Microsoft Dynamics GP 2010.

Steps to follow the Upgrade to GP2010

Upgrade Microsoft SQL Server

1. Take the backup of the databases and installed directory of SQL
Server 2005.

2. Run SQL Server 2008 R2 setup and click on upgrade.

(sometimes no features appeared to be selected to upgrade into the latest
version, to counter this problem, you make sure the previous release of SQL
must be installed fully and correctly. This may also cause because of
unlicensed features of Microsoft SQL Server previous release. In that case
you'll need to license the previous release too.)

Upgrade Microsoft Dynamics GP

Service Pack 4 or 5 is the prerequisites to upgrade to the latest version of
GreatPlain. Please follow these steps to quickly upgrade your systems.

1. Take the backup of customized reports and forms.

2. Take the backup of GP 10.0 installed directory and databases too,
if not taken yet.

3. Apply SP4 on GP 10.

a. Run GP 10 Utilities.

b. GP10SP4 required DYNSA user to update the company database.

c. Create DYNSA user manually in SQL Server Management Studio.

d. Again run GP 10 Utilities

e. Update the company with SP4 through GP Utilities.

4. Take the backup of installed directory of Microsoft Dynamics GP 10
again.

5. Install Microsoft Dynamics GP 2010 R2

6. Upgrade the company through GP2010 Utilities.

a. Utilities will not allow you to select the company for upgrade and
show you this status "Company is being upgraded by another client." (you
can't proceed further, until the locked user is unlocked.)

b. Run this SQL script in SQL Management Studio on DYNAMICS database to
exit the unlocked users.

c. Run GP Utilities and upgrade the company with GP2010.

7. Module functionality will be disabled until you enter the new keys
for MSD GP 2010. New keys will be provided at Microsoft Customer Source.

8. Enter the keys and restart the GP2010.

transaction text of the original transaction to the transaction reversal.
However, you can create transaction text so that you can record information
for the transaction reversal.

To create transaction text for the transaction reversal, follow these
steps:

1. Log on to Microsoft Dynamics AX 2009

2. Click Basic, expand Setup, and then click Transaction text.

3. In the Transaction texts dialog box, press CTRL+N to create a new
record.

4. For the record that you created in step 3, click Transaction
reversal in the Transaction text list, click a language in the Language
list, and then type text in the Text field.

Notes

* The text that you type in the Text field is the text that you want
to add to the transaction reversal.

* You can combine the text with enumerated texts and with
automatically-generated texts.

* The enumerated texts contain phrases that you type in the Text
field.

* Automatically-generated texts contain the following parameters:

* %1
If you type %1 in the Text field, Microsoft Dynamics AX 2009 automatically
generates the date of the transaction.

* %2
If you type %2 in the Text field, Microsoft Dynamics AX 2009 automatically
generates an ID for the program that generates the information.

This article describes how to work with miscellaneous charges in foreign
currency in Microsoft Dynamics AX.

More Information

Setup

To work with miscellaneous charges, you must create miscellaneous charges
codes. You create these miscellaneous charges codes in Accounts Payable and
in Accounts Receivable in Microsoft Dynamics AX as follows:

* To create the miscellaneous charges codes in Accounts Payable, click
Accounts Payable, expand Setup, expand Misc. Charges, and then click Misc.
charges codes.

* To create the miscellaneous charges codes in Accounts Receivable,
click Accounts Receivable, expand Setup, expand Misc. Charges, and then
click Misc. charges codes.

Miscellaneous Charges Codes

The following are the codes that you can use when you configure
miscellaneous charges codes.

In Accounts Payable

* The Item - Vendor charge code is used in purchase orders.

In Accounts Receivable

* The Customer - Ledger Account (Customer - Income/revenue) charge
code is used in sales orders and in free text invoices.

* The Ledger Account - Ledger Account (Expense - Ap Accrual) charge
code is used in sales orders and in free text invoices.
To use these charge codes, click Accounts Receivable, click Sales order,
click Setup, and then click Misc. charges.

Note You cannot select the Item option when you configure miscellaneous
charges in Accounts Receivable.

Charge codes for foreign currency
When you use foreign currency in miscellaneous charges, you must consider
the configuration of the miscellaneous charges code that is used in the
transaction to achieve the expected result.

In Accounts Payable

* Use the Item - Vendor charge code when the currency that is used by
the miscellaneous charges code is the same currency that is used in the
purchase order. The exchange rate is taken from the purchase invoice posting
date. The exchange rate cannot be changed.

* Use the Ledger Account - Vendor (Expense - Vendor) charge code when
the currency that is used by the miscellaneous charges code is the same
currency that is used in the purchase order. The exchange rate is taken from
the purchase invoice posting date. The exchange rate cannot be changed.

* Use the Item - Ledger Account (Item - Ap Accrual) charge code when
the currency that is used by the miscellaneous charges code may differ from
the currency that is used in the purchase order. The exchange rate is taken
from one of the following:

o The exchange rate is taken from the purchase invoice posting date. You
cannot change the exchange rate.

o The exchange rate is taken from the invoice adjustment after you
specify the currency and the exchange rate date.

* Use the Ledger Account - Ledger Account (Expense - Ap Accrual)
charge code when the currency that is used by the miscellaneous charges code
may differ from the currency that is used in the purchase order. The
exchange rate is taken from the purchase invoice posting date. You cannot
change this date even though the currencies in the purchase order and in the
miscellaneous charges are different.

In Accounts Receivable

* Use the Customer- Ledger Account (Customer - Income/revenue) charge
code when the currency that is used by the miscellaneous charges code is the
same currency that is used in the sales order or in the free-text invoice.
The exchange rate is taken from the sales invoice posting date. The exchange
rate cannot be changed.

The exchange rate is taken from the posting date of the sales invoice or
from the posting date of the free-text invoice. The exchange rate cannot be
changed in the currencies in the sales order.

Microsoft Dynamics AX - Production Picking Journal with Two Decimal Spaces

The BOM (Bill of Materials) quantity fields in the base data and in the
production module (BOM and ProdBOM tables) contain four decimal places in
the standard AX setup. However the Production picking journal only has two
decimal spaces.

In the BOM Lines form, and also within a Production Order in the BOM form,
the Quantity fields are displayed using 4 decimal places, and you can enter
values using up to 4 decimals, for example 1.2345. However, when you want to
record the quantities of Raw Materials used in a Production Order, in a Pick
list Journal, you can only enter those Quantities using 2 decimals.

The reason why you can see and use 4 decimals in the BOM Lines, but only use
2 decimals in Pick Lists is explained below. Note that you can customize
Microsoft Dynamics AX to allow Quantities displayed and entered in such
places as the Pick List to use 4 or more decimals, however this is not
generally recommended unless it is essential for a Customer to do that.

Microsoft Dynamics AX allows you to enter 4 decimals for the Quantity field
in BOM Lines to give you flexibility in how you define the quantity to use
in a BOM.

Below are two examples:

1. For example, if you use 1 kg of salt in a BOM to make a large cake
mix of 1000 kgs, then:

o you may define the BOM Line to use "1.0000" kg of item Salt and with
the field "Per Series" set to 1000.00
Or

o you may prefer to define the BOM Line to say use "0.0010" kg of salt
and with the field "Per Series" set to 1.00

o those two alternatives above will both give the same end result, when
you create a Production Order to make some cake mix..

o then, when you create a Production Order to make 2,000 kg of "Cake
Mix", the BOM Lines are copied into the ProdBom Lines, and it will display
as an expected usage of 2.0000 kg of Salt (as we need 1 kg per 1000 kg of

Cubes Configuration Process in AX 2009

Step 1: Install analysis extension by executing Dynamics AX 2009 Setup. It will create a Dynamics AX database in Analysis Services.

Step 2: Run Dynamics AX 2009 Client and go to > Business Analysis > OLAP > OLAP Administration.

Step 3: Set OLAP Server name the one where Analysis Extension create new Dynamics AX database.

Step 4: Set OLAP database name.

Step 5:- In Advanced Tab Check on Update BI Data, Synchronize OLAP Databases with OLTP Schema and Enable Logging. Set the Log file path and then click on update databases.

-It will take some time approximately 1 hour or more and then log will generate.

Step 6:- Start SQL Server Business Intelligence Development Studio. Create New Project with the Import Analysis Services 2008 Databases.

-Name the Project Dynamics AX.

Step 7:- After clicking on Next write Analysis Server name in server and the select analysis services database.

Step 8: After clicking on Finish Dynamics AX Analysis database will be import in SQL Server Business Intelligence Development Studio and then click on Dynamics AX.dsv in data source view.

-On left hand pane it will show you Tables and Views.

Step 9:- Now go to log file the one that we have generated earlier and search “Warning: table 'EMPLTABLE' in data source view 'Dynamics AX' contains one or more invalid column references in its Query Definition property. This must be corrected prior to processing the database”

Step 10:- Note the warning table name for example EMPLTABLE and then go to SQL Server Business Intelligence Development Studio right click on EMPLTABLE and then Edit Named Query.

Step 11:- Copy query and then paste it in SQL Server.

Step 12:- Paste query in SQL Server with primary Axapta database selected from which the Main application of Axapta is running.

Step 13:- Set invalid columns null in query.

Step 14:- After setting null to all invalid columns execute query.

Step 15:- When query run successfully copy it and paste it into SQL Server Business Management Studio and verify SQL by clicking on SQL button and then press OK.

Step 16:- Repeat steps 9 to 15 for all warning tables in log file.

Step 17:- Process cubes one by one in SQL Server Business Intelligence Management Studio.

Step 18:- When all cubes process successfully then deploy the project by right click Dynamics AX database in project and click on deploy.

Step 19:- Right click on Dynamics AX database in Analysis server and then process.

To create currency go to General Ledger > Setup > Exchange Rates. The
Exchange rates form opens.

As you can see in above screen shot we have five tabs on this form. First is
the Overview tab. In this tab we'll create new currency. To create new
currency press Ctrl + N, in the Currency field write new currency short name
(3 characters limit), in the Name field write descriptive name for new
currency, in the ISO field select ISO currency code for new currency and in
the Symbol field enter symbol for new currency created.

In the lower pane of the Exchange rates form, are the exchange rates for
currency. You can define exchange rates for each day. If you want to use one
exchange rate leave the Start date field blank. AX will automatically use
last exchange rate, if multiple exchange rates are available.

Next is the General tab which shows same information as in the Overview tab
except the Gender field (Optional if you are not using Spanish check).

Third tab is the Currency convertor tab. Enable currency conversion by check
mark on the Conversion field. Postfix and prefix are character you want to
add before and after amount. Enter spaces before and after postfix and
prefix fields to separate from amount.

I have created the Pakistan Rupees (PKR) with the following setup:

The production order follows a sequential "production life cycle". The life
cycle reflects the actual steps that are taken to manufacture an item. It

cycle requires different kinds of information.

When the production order is ended, items that will be consumed are deducted

This post introduces the Credit Card processor functionality that is
available in Microsoft Dynamics AX 2009. There are two processors available
to users: Microsoft Dynamics Payment Services and Authorize.net. Depending
on your preference you can select which processor you want to process
payments, however only one can be active at a time. For this blog, we will

If unsuccessful, the infolog log will give a reason. Most likely, the Credit
Card was not setup correctly. Go back through the Credit Card wizard using
the Edit feature and verify all of the information. Try to preauthorize
again.

When you invoice the Sales Order the final authorization is sent through the
processor and the credit card is charged and settled with that amount on the
invoice.

AX 2009 ships with a variety of preloaded cues that typically correspond to
a form in the application. You can view these cues in the Basic module
(Setup>Role Center>Edit Cues).

In this form, you can review all the existing cues and, once you create your
own cues, you can edit cues if they are showing you exactly what you're
looking for. To create your own cue, open a form, apply a filter, and then
save the filter as a cue. As an example, we'll create a cue for planned
purchase orders from vendor 2102. To do this, we'll open the planned
purchase order form and click on the advanced filter button (which looks
like a funnel and pencil).

Enter your filter criteria and then click on the Modify button and select
Save as Cue.

You'll then be asked to enter a Cue ID and a Caption. The Cue ID is
character limited but you can enter a more informative title to the Caption.
You'll want to use ID's and caption that you can easily recognize later. You
will also enter some other information on the Save as Cue form, including
the cue's count, it's threshold, it's total, and it's security level. The
count, threshold, and total are tools that can be used to create a more KPI
feeling to the cue. The security is important to note if you plan on sharing
the cue across users or if it will be just for personal use. This a big
advantage of Cues over saved filters; saved filters can't be shared across
users. Once the cue is saved, head back to your Role Center home page. If
you already have Cues on your Role Center, click the down arrow next to
their title and select edit web part. If you need to add the Web Part,
select Personalize this Page and add the Web Part.

When editing the Cues Web Part, you have to select the Cue you are
modifying. If you want to modify a Cue already in the Web Part, select if
from the list. If it's a new Cue, select the Cue after the number of Cues
already in the Web Part. In the View drop down, select the Cue we just
saved; it will be listed under the Caption we gave the Cue earlier. Again,
you can edit the count, threshold, and total of the Web Part. The threshold
can add an indicator to the cue if it violates the threshold. The total can
also be used to display information about the items in the cue.

Once you click ok, you'll notice that the cue has been added.

That does it for adding cues to your Role Center. It's really simple and its
simplicity makes it a very powerful tool in Microsoft Dynamics AX 2009.

Update: I wanted to add a quick note that not only can Cues be shared across
users but they can also exported and imported to other application instances
(pretty handy if you create a complicated cue in a test environment and you
want to move it to live). To do this, export the cue to the AOT by selecting
the Export to AOT option from the Export button on the Edit Cues form. This
will add the Cue to the Resource node.

Aging Buckets in Microsoft Dynamics AX 2009

This article will explore the aging bucket functionality within Dynamics AX
2009 and how to use them in reporting. Aging buckets can be used in Accounts
Receivable and Accounts Payable for Customer Aging or Vendor Aging. You do
not necessarily need to have aging buckets setup to run the Aging reports,
but it does make the functionality more available in other modules. Keep
reading to see how to setup basic 30-60-90 Aging Buckets.

Follow these Steps to create the most basic Aging Buckets for reporting:

Accounts Receivable > Setup > Statistics > Aging Buckets

Click Create New, and enter an aging bucket name and description.

Click the Specification tab and delete the row that is created automatically
with the red "X" button on the toolbar.

* Create two new rows before entering in any data.

* In the Top Row enter a name in the Header column, 0 (zero) in the Unit
column, and select Day in the Interval column. This line must be created
for all aging buckets (AP and AR), and both modules share the same table, so
you will see all aging bucket regardless of which module you are working in.
Make sure that the printing direction is set to forward.

* In the bottom row enter in Future for the header, 900 for the unit, and
Unlimited in the interval field.

Once the base line is set, create the additional lines you would like to
display on the Customer Aging Report. There are a maximum number of 6 lines
that may be posted, and the Unit column designates the number of units
between each column.

The user can use the Up and Down buttons to move each line to a desired
position on the report. Once the buckets are set to the user
specifications, click the Save button and close the window.

Running a Customer Aging Report

Accounts Receivable > Reports > Status > Customer Aging Report

To use the desired aging bucket, use the drop down arrow in the Aging
buckets field to select an aging bucket. If the user selects Yes in the
Print aging bucket description, then the text in the aging bucket header
column will be displayed at the top of each column on the report. Leave the
checkbox for "Payment Positioning" unchecked.

Registering Assembly in CRM

1- Download Plugin Registration Tool and click Plugin Registration.exe

2- In Connection Information write label anything specific to project name like test project or project name, discovery server is

the server where your CRM web service is configured, local host if you are using Plugin Registration tool on same server if it on

is different server then you have to write IP address or server name.

3- Port will be 5555 and then domain name and username. Username should have system administrator and system customizer

rights in CRM otherwise it will give you privileges exception and then click on connect.

4- Write password for username.

5- testKASB connection is showing and under this connection we have two organizations with the name KASB and test. Your

organization will show here click on organization and then click on connect.

6- Registered Plugins and Custom Workflow activities area showing registered assemblies.

7- For registering new assembly click on Register and then Register New Assembly.

8- In step #1 browse the assembly or dll file.

9- In step #2 checkboxes will be by default selected.

10- In step #3 select database and then click on registered selected plugin.

11- Plugin is registered successfully.

12- Your assembly will be showing in Registered Plugins and Custom Workflow Activities.

Step Registration

13- Now register a step in an assembly.

14- Click on your assembly.

15- Click on Register and then Register New Step.

16- We are using Create in Message. This plugin will execute on creation of primary entity.

17- Select Primary Entity.

18- Select none if you don’t have any Secondary Entity.

19- You can select attributes by Filtering Attributes.

20- Plugin will be by default selected.

21- Description for plugin.

22- Select user in Run in User’s Context.

23- Execution Order will be 1.

24- Configured Eventing Pipeline Stage of Execution, Execution Mode, Step Deployment and Triggering Pipeline as per your requirement and then click on Register New Step.

25- Your step will be showing under your assembly.

Why the Fiscal Year Close in Microsoft Dynamics AX 2009 Is So Important, and How to Get It Right

When a company finalizes its accounts for a particular year using Microsoft Dynamics AX and doesn't want to make any further changes in that year, it can then close that year by using 'Fiscal Year Close'.
At that point, the records of that year will be available only for view. No more changes are possible in that year. If you have filed your returns for any particular year and don't need to make any changes, you can close that year.
You can close individual years only serially. i.e., the record of the first financial year will be closed first and then the next. You can't close a recent year if any of the previous years is not closed.
But, not surprisingly, it's all more complicated than that. Here are suggestions to close the previous fiscal year and prepare for the new one:

1. Complete month-end and other period closings in all modules other than General ledger.
2. Reconcile the modules and the ledger.
3. Print the Trial balance, Account statement, Financial statement, and required reconciliation reports.

Sales Force Segmentation in AX2009

There are a few ways to slice and dice your sales personnel in Dynamics AX.
Some are in the CRM module and some are in the AR module.

The Sales Unit: In order to report sales by department, team or individual,
you must group sales personnel into sales units. Units can be defined by an
area of responsibility such as geographical area, customer size, and
customer type. From this form you can create a team or unit, staff it and
assign managers, and assign activities. Sales targets are set by Sales
units and Sales unit members.
CRM > Setup > Sales management > Sales unit/team

The Sales Group: Also known as the Sales Commission group, this is where you
assign employees to the "commission groups" that have employee and
commissions set to them. First you set up the group, then assign employees
and their share of commissions.

On question I get from clients is "Can I assign a sales person to a
customer?". Well yes and no. You can assign a Sales group to a customer
(NOTE! This is actually the Sales Commission Group). Since the sales group
is tied to employees, then you are in effect tying employees to a customer.
If you need to tie one employee to a customer, then create a one employee
team with 100% of the distribution. It is important to note that both the
Sales group and the Sales unit can both be designated on the sales order
form.

Print Management

Print Management is a useful tool that allows the user to define settings to
produce original records, copy records, and conditional settings. Print
Management is controlled at the module, account, or transaction level and
can control the number of copies to produce, multilingual footer text, and
print destination.

Print management can be setup in Accounts Receivable, Accounts Payable, and
Projects at the module level. Each original record in Microsoft Dynamics AX
can have default settings associated with it which are defined under the
print management setup. Print Management is setup at a hierarchal level
where you define original record, copy record and settings for any available
documents. You can create up to one original record for each and multiple
copy records for every document type. You can create up to 19 conditional
settings for each original or copy record. To see more on how to setup Print

Select Print management by following this path: Module (Ex: A/R) > Setup >
Forms > Form Setup > Print Management button

-Select the document level (Ex: Sales Order Invoice)

* To create a new record you can Ctrl N or right-click and select New.

* At the document level you can define your settings

* Check the Default setting check box if you would like to have the
default settings print each time.

* When the check box is not selected then the document can print
according to a selected query for a conditional setting if it successfully
returns results.

* Destination: Where the document will be printing

* Number of Copies: enter a numerical value

* Footer Text: By clicking the 3 dots button will allow you to print
footer texts in different languages. Otherwise you can enter your text in
the dialog box. *50 character maximum

Select Print Management by following this path: Module (Ex: A/P) > Vendors >
Select an Account > Click the Setup Button > select Print Management.

-Select the document level by maximized the selections

* On the right side of the panel you will see the selections.

* Blue Arrows indicate settings that are inherited from the module
level that were setup previously. For changes to the settings there are
four options. You can override, copy, create a new record, or creating a new
setting.

* To override: Right click the original or copy record and select override.
A red "X" indicates it has been overridden.

* To copy: Right click the original or copy record and select copy. It must
be renamed.

* To create a new original or copy record: right click the type of record
in the list and select New.

* To create a new setting: right click and select new.

Print Management at the Transaction Level

The following table gives a list of the supported documents in Accounts
Payable. This may be necessary if these documents print to a certain
printer, ect.

Conditional Settings in Print Management

-Can be setup using under Print management on the right side of the screen.
The more complex the query or greater conditional settings can affect
posting performance.

* To do this: select the original or copy record, right click and
select new.

* Enter a description

* Click the select button

* Query-Settings form enter a query in the criteria field. Click Ok
when finished.

* Many conditions can be setup on the document.

Resetting a Production Order Status in AX2009

The Production Order is released, and started as planned....but then,
Production Control decide that the decision to "Start" production, was the
wrong decision, so they must reset the Production Order. This is done by
clicking the "Update" button and selecting "Reset Status".

When the reset form is displayed, AX suggests the desired status to reset
back to.....there is no indication that you have a choice, and if you accept
the default, AX implies that you have to reset status, one step at a time.

This is not the case!

By clicking in the "Desired Status" field, a drop down icon becomes
visible......

Simply select the desired status from the list and click"OK".

The Production Order will be reset back to the selected status.

Budgeting with Period Allocation Keys in Dynamics AX 2009

This post will introduce the concept of period allocation keys, show how
they are setup with the Period Allocation Key Wizard, and how they are
integrated with the budget.

Budgeting is important because companies need to know their actual versus
predicted forecasts for the year. Period allocation keys in Dynamics 2009
make the budgeting process easier by allowing users to create budget models
that can be used over several budget time frames. Not only do period
allocation keys duplicate the allocation data for multiple budgets, they can
also help reflect fluctuations brought on by season.

AX 2009 utilizes a wizard to guide users through the setup of Period
allocation keys. The Period Allocation Key Wizard is located at General
Ledger>Setup>Periods>Period allocation keys>Wizard button.

The Allocation Form in the Period Allocation Key Wizard

The wizard will step through Allocation, Dimension, and Name forms. In the
Allocation form, the user selects the time between periods and how long the
periods will last. The Dimension form allows users to associate period
allocations keys to certain financial dimensions. In the Name forms, users
enter an identification key and name for the Period allocation key. Before
completing the wizard, users are presented with an overview screen to review
the Period allocation key setup and adjust the period allocation percentage
if desired.

Period allocation keys can also be manually created or copied from existing
keys. If users want to create a complex allocation key (one with widely
varying period allocation percentages), they might find it easier to edit
the percentage using the Period allocation keys lines form. This form is
accessed via General Ledger>Setup>Periods>Period allocation keys>Lines
button. The form offers a better view of the percentages and has a field
with the remaining percentage to be used in the key. Keys that have been
created with the Copy button can be edited in the same manner.

Once the Period allocation keys have been created, applying them to budgets
is a snap. To apply Period allocation keys, select from General
Ledger>Ledger budget>General tab.

Audit Trails can help you with data control and monitoring as well as
security. An Audit Trail is a chronological record of transactions that is
automatically generated with a unique numeric ID. In Dynamics AX 2009, an
Audit Trail Inquiry shows you the details of the user who created an entry,
the date of the entry, and the time of the entry.

The Audit Trail Form allows you to monitor the activity of the system and
hold users accountable for the transactions they post.

Simulating Exchange Adjustments in Dynamics AX 2009

Dynamics AX 2009 offers a variety of simulation and forecasting tools as
well as reports. These features filter complex data into a clear form that
can be used in decision making. A quick Exchange Adjustment Simulation will
illustrate how a business issue is solved easily using Dynamics AX 2009.

What if you want to see the effects of an exchange adjustment on open
customer transactions before you actually make the adjustment?

That is when you would want to use a Simulation provided by Dynamics AX
2009.

-You can access the Exchange Adjustment Simulation from either Accounts
Receivable or Accounts Payable by clicking Periodic followed by clicking
Exchange Adjustment.

-Click the Simulation button on the right side of the form.

-This brings up the Exchange Adjustment Simulation form pictured:

-If you click on the drop down arrow for Method you will see three options:

* Standard, which makes adjustments based on the exchange rate used on
the date specified in the Date of Rate field.

* Minimum, which only makes and adjustment if a loss occurs but does
not if there is a profit.

* Invoice Date, which offsets any exchange adjustment that is not
already offset. This causes the transaction to be valued at the original
value.

-Next, select the Considered date to find all the transactions that are open
on that date and an exchange adjustment will be made automatically if
necessary. For transactions that are open on this date, but are settled
before the exchange adjustment date, adjust in the periodic job.

-Enter the date of rate in the Date of rate field. This determines the
exchange rate used in the adjustment.

-Click the Select button on the right side to choose the data you want in
the report.

-You can use the Options button on the right side to choose how to print or
save the report.

-Finally, simply click OK to view the report. The simulation report shows
all the open balances in the originating currency as well as the company
currency. The report also lists the exchange rates that were used in the
simulation.

This was just a simple example of Dynamics AX 2009's capability to get
valuable results in an efficient manner.

How to delete a company in Dynamics AX 2009 :

How to delete company from Dynamics AX 2009

User cannot delete company while the user have administrative privilege on
SQL and Domain but you still get the following error during delete company
in dynamics AX 2009.

Error:

When a user tries to DELETE one of the companies, he gets a message

User "x" is not authorized to delete a record in the table
'DEL_PBATRANSLATECONSISTOF' . Request deny

Cannot edit a record in Translation table(DEL_PBATRANSLATECONSISTOF). Access
Denied; You donot have sufficient authorization to modify data in database

Resolution:

1. Open AOT in Dynamics AX 2009.

2. Go to table : 'DEL_PBATRANSLATECONSISTOF'

3. Go to this table and change MaxAccessMode property to Delete

4. Set the table property SecurityKey = null

5. AOSAuthorization property to NONE

6. Again go back and try to delete company again

This resolution tested on Roshan Enterprise Karachi.

Auto Receive Payment at the time of Invoice Posting in Dynamics AX 2009

Here is another feature which I revealed through which you can automatically receive payment at the time of posting invoice. This was requirement of one of our customer that they needed to receive payment automatically for all invoices which they make through Cash Counter. To achieve this click ‘Automatic posting’ on ‘File Formats’ tab of ‘Methods of payment’ and select Accounts Receivable payment journal from name drop down.

Excel Reports in Dynamics GP 10

The new Excel reports in Dynamics GP 10 are really pretty cool and you don't need MOSS 2007 to play with them. You can use a network share to let your organization do a little Excel reporting.
To setup the default reports you need to do 2 things, deploy the connector and deploy the reports. Here's how:
In GP 10 pick Microsoft Dynamics GP-Tools-Setup-System-Reporting Tools Setup. Enter the system password if required.
Pick the Data Connections Tab
In the System Level Data connections box enter a shared network location to deploy the connectors to.
Do the same thing for the User Level Data connections. This can be a local directory.
Check Enable Data Connection Deployment. Check Deploy Data Connections for all existing companies if you want to run Excel reports off all your companies. Otherwise, when you deploy, you'll have to pick a company.
Click Run Deployment

Print or Cancel any reports and move to the Reports Library Tab.
Fill out the same type of information, Network location to deploy shared reports, local location for user reports, check the enable box and if you want to deploy for all companies, check the Deploy box.
Click the Run Deployment button. Print or cancel any reports.

You're done, now what?
You can navigate to the shared location from the Reports Library Tab and open one of the Excel reports. Even better from within Dynamics GP, go to the Navigation Pane on the lower left and pick Administration or the Administration tab. Click on Other Reports and wait for them to load.

Pick a report and double click it. The report opens nicely (and quickly in Excel). You may need to enable data connections. If a box pops up, enable data connections and go on.
In Excel 2007 the report shades every other row and provides filter handles on each column.
That's enough to let you play with it a little. I'll have more on GP 10's Excel reports and the cool things you can do with the connectors later.

An American millionaire, Mark Shaffer declared his Islam in Saudi Arabia on
Saturday, 17th October 2009. Mark was at that time on a holiday in Saudi
Arabia to visit some famous cities like Riyadh, Abha and Jeddah for 10 days.

Mark is a well-known millionaire and also a practiced lawyer in Los Angeles,
specializing in cases of civil laws. The last big case he handled was the
case of the famous American pop singer,

A tourist guide who accompanied Mark for 10 days in Saudi Arabia, Dhawi Ben
Nashir told: Since he set foot for the first time in Saudi Arabia, Mark
already started to ask question about Islam and Solat. As soon as he arrived
in Saudi, Mark stayed in Riyadh for two days. While in Riyadh, Mark was very
interested in Islam. After moving to Najran, we went to Abha and Al-Ula.
There, his fascination on Islam grew more obvious, especially the time when
we ventured out into the desert.

Mark was amazed to see three Saudi youths who were in our group in Al-Ula,
performing solat in the expanse of the very wide desert. A very fantastic
panorama indeed.

After two days in Al-Ula, we went to Al-Juf. As soon as we arrived in
Al-Juf, Mark asked if I could get him some books on Islam. I then obtained
some books on Islam for him. Mark read all those books. The next morning, he
asked me to teach him how to perform solat. I then taught him how to pray
and take wudhu (ablution). Then, he joined me and performed solat beside me.

After solat, Mark told me that he felt peace in his soul. On Thursday
afternoon, we left Al-Ula heading for Jeddah. He looked very serious
throughout the journey reading those books about Islam. On Friday morning,
we visited the old town of Jeddah. Before the time for the Friday prayer
approached, we went back to the hotel and I excused myself to go for the
Friday prayer. Then, Mark told me: I would like to join you for the Friday
prayer so that I can witness myself how the Friday prayer is like. So I
answered: welcome…

We then went to a masjid which was not far from the hotel where we stayed in
Jeddah. Since we were quite late, I and many other jamaah had to pray
outside, as the number of jamaah was overflowing. I could see Mark observing
the jamaah, especially after the Friday prayer was completed, when everybody
was shaking hands and embracing each other with radiant and happy faces.
Mark was very impressed with what he saw.

When we return to the hotel, Mark suddenly told me that he wanted to become
a Muslim. So I said to him: Please have a shower first. After Mark took the
shower, I guided him in saying the kalimah of shahadah (declaration of
faith) and then he prayed two rakaah. Later on, Mark expressed his desire to
visit the Masjidil Haram in Makkah and perform solat there before leaving
Saudi Arabia.

In order to fulfill his wish, we went to the Da'wah and Irshad office in the
area of Al-Hamro', Jeddah, to obtain a formal proof of his conversion to
Islam, so that he would be allowed to enter the city of Makkah and Masjidil
Haram. Then, Mark was given a temporary certificate of his conversion to
Islam. As a number of group members who participated in Mark's visit to
Saudi Arabia had to go back to America on Saturday afternoon,
Al-Hamdulillah, Ustadz Muhammad Turkistani was willing to send Mark to the
Holy Land of Makkah that same morning.

Regarding Mark's visit to Masjidil Haram, Ustadz Muhammad Turkistani
narrated: After Mark obtained his temporary certificate, we straight away
departed heading for the noble Masjidil Haram. When he witnessed the
Masjidil Haram, he face looked radiant and it emanated an extraordinary
happiness. When we entered the Masjidil Haram and witnessed the Ka'bah for
ourselves, his happiness increased. By Allah, I could not express that scene
with words. After performing the tawaf around the noble Ka'bah, we performed
the sunnah solat and went out of Masjidil Haram. I could see Mark very
reluctantly wanting to leave Masjidil Haram.

After Mark declared his Islamic faith, he had the chance to express his
happiness in Al-Riyadh Newspaper saying: I could not express my feeling at
this time but I am being reborn and my life has just started… then he added:
I am very happy. This happiness that I am feeling could not be expressed in
words especially when I visited the Masjidil Haram and noble Ka'bah.

Regarding his next step after his conversion to Islam, Mark explained: I
will learn more about Islam, I will delve deeper into this religion of Allah
(Islam) and come back to Saudi Arabia to perform the Hajj.

As to what impelled him into converting to Islam, Mark explained: I have
already had information about Islam, but it was very limited. When I visited
Saudi Arabia and personally witnessed the Muslims there, and saw how they
performed the solat, I felt a very strong drive to know more about Islam.
When I read true information about Islam, I became confident that Islam is a
religion of haq (truth).

Sunday morning, 18th October 2009, Mark left the Airport of King Abdul Aziz
Jeddah heading for America. When filling in the immigration form before
leaving Jeddah, Mark wrote ISLAM as his religion.

Inventory Closing in AX2009

Steps that are performed by the Inventory Close routine
When you run the Close routine, Microsoft Dynamics AX performs the following steps:
1. Check whether any Recalculations were run after the date that you choose for your Close. Microsoft Dynamics AX will cancel any of those later Recalculations before the Close can start.
2. Put all the items that are to be processed into a queue. These items are stored in the InventCostList table.
Note While a Close or Recalculation is processing, you can click Calculation/Calculation List from the Close & adjustment form to view the data in the InventCostList table. This shows which items are still to be processed by the Close or Recalculation process.
3. Process each item from that queue sequentially. Microsoft Dynamics AX performs the following for each item:
a. Settle individual receipts and issues against one another for the item according to the Inventory Model Group such as FIFO, Weighted Average. • Make any required cost adjustments to the issue that was settled based on the cost of the receipt(s) against which the issue was settled.
• Update the inventory transactions to show the settlement and cost adjustment data.
• Write the settlement data into the Inventory Settlement table. The data will include records that show explicitly which Receipt(s) were settled to each Issue in addition to any cost adjustment that is made to the Issue that is settled.
b. As soon as all possible transactions are processed for that item, Microsoft Dynamics AX looks for any transactions that are fully settled, and then update those transactions to "Closed." For more information, see the "What fields show that an inventory transaction is closed" section.

4. As soon as all the items are processed, the settlement records that were created are read and sorted by General Ledger Account. Then, Microsoft Dynamics AX summarizes all the cost adjustments that were made, and a General Ledger Journal is created and posted.
5. If you select the Run recalculation after closing check box in the Close dialog box, a Recalculation will be run for all items up to today's date.

Steps that are performed by the Inventory Recalculation routine
The Inventory Recalculation routine does a similar job to the Inventory Close routine. However, there are a few differences. When you run the Recalculation routine, Microsoft Dynamics AX performs the following steps:1. Check whether any Recalculations were run after the date that you choose to run your Recalculation up to. Microsoft Dynamics AX will cancel any of those later Recalculations found before your Recalculation routine can start.
Notes
• In the Select dialog box, you can select item(s) for which you want to run the Recalculation, unlike the Close routine that always processes all items.
• While a Recalculation or Close is processing, you can click Calculation/Calculation List from the Close & adjustment form to view the data in the InventCostList table. This shows which items are still to be processed by that Close or Recalculation.
2. Put all the items that are to be processed into a queue, and then store the queue in the InventCostList table.
3. Process each item from that queue sequentially. Microsoft Dynamics AX performs the following for each item: • Make a "virtual" settlement between individual receipts and issues for the item according to the Inventory Model Group such as FIFO, Weighted Average. This is a "virtual" settlement because it is occurs in the Recalculation’s calculations. However, the detailed settlement data that shows the explicit matching of each issue to the various receipts is not stored in the InventSettlement table. The only data that is stored is the cost adjustment that is made to the issue.• Make any required cost adjustments to the issue that was settled based on the cost of the receipt(s) against which the issue was settled.
• Write a single settlement record for any cost adjustment that is made for that Issue into the Inventory Settlement table.

4. As soon as all the items are processed, the cost adjustment settlement records that were created are read, sorted by General Ledger Account, and summarized and posted in a General Ledger Journal.

What fields show that an inventory transaction is closed
To show that an inventory transaction is "closed", Microsoft Dynamics AX performs the following:1. When the Inventory Close routine has fully settled the Quantity and Financial Cost of a specific inventory transaction, Microsoft Dynamics AX updates the individual inventory transaction to show that the transaction is "closed."
2. For a transaction to be closed, it must meet the following criteria:• The "Quantity" must match the "Quantity Settled."
• The sum of "Cost Amount Posted" plus "Cost Amount Adjustment" must match the "Cost Amount Settled."
3. When those conditions are met, then the Close program will do the following:• Set the field "Value Open" from "Yes" to "No."
• Store the date of the close in the field "Date Closed."
This means that the individual inventory transaction is "closed."

DataLoad provides a spreadsheet style interface and the data contained within that spreadsheet can be loaded into any system using a Macro load, or into Oracle Applications using Forms Playback. Macro Loads
All versions of DataLoad provide the Macro load functionality and this is the load technology of choice in DataLoad Classic, the freeware version.
The easiest way to load data into a form is using a keyboard and mouse and this is what DataLoad does with Macro loads. You configure the data, keystrokes and mouse clicks in DataLoad that you want loaded into your form(s). When you run the load DataLoad presses the keys and clicks the mouse as you specified. Any keys on your keyboard can be used by DataLoad, in any combination, and the left and right mouse buttons can also be used. And because DataLoad calls the same low-level Windows code that is called when you actually press a key or use your mouse, the application you are loading data into cannot tell the difference between data entered by you at the keyboard or DataLoad.
To build a DataLoad load write down what keys and mouse clicks you use to enter one record in your application. Now enter that into a DataLoad row and copy the instructions down into as many rows as the number of records you are going to load. Finally, paste your data into cells in DataLoad that correspond to the fields in your form. Your load is now built!
To load data as quickly as possible DataLoad uses Windows copy & paste to copy data into form fields. Where the actual keystrokes should be sent instead the data just needs to be preceded with a backslash, '\'. Changes in Sales and Transfer Order Picking from Microsoft Dynamics AX 4.0 to Dynamics AX 2009

Overview
The purpose of this post is to present the major changes and new functionality that was introduced for sales and transfer order picking in AX 2009.
The aim and the idea behind these changes is to move towards a single system for picking that can be shared in order to simplify and unify future extensions.
The post contains information about:
· User Interface changes
· Changes to tables and classes
· Upgrade scripts
· New functionality for order picking
· New enhancements for advanced WMS outbound processes
Differences in terminology
Picking registration, as known in AX 4.0, is referred to as order picking. Picking with output orders and advanced WMS, as applied in AX 2009, is referred to as consolidated picking.
Differences from a UI perspective
The parameter Set inventory transactions to picked in AX 4.0 is now obsolete, and it has been replaced by the Picking route status parameter.

The following conversion rules apply:
Dynamics AX 4.0

Set inventory transactions to picked = selected
Set inventory transactions to picked = not selected

Dynamics AX 2009

Picking route status = Complete
Picking route status = Active

When you post a picking list, and the picking route status is Active, the reference for inventory transactions is set to Output order instead of Invent-picking list registration:

When you click Posting/Picking list registration from a sales order or a transfer order, a new registration form opens:

The Picking list registration form is used to register what was picked and it is quite similar to the picking registration form in AX 4.0. You can either update the entire picking route or update individual lines, and you can view and pick both consolidated lines and order picking lines in this form.
Additional functionality available from this form:
· Barcode identification
· Split of picking lines
· Unpick of picking lines with the option to put items on another location
· Cancellation of picking lines
A new inventory parameter, End output inventory order, is introduced:

The End output inventory order parameter controls whether or not the reference between an output order and inventory transactions is removed when you delete or decrease the quantity of a picking registration line.
If the End output inventory order parameter is selected, the behavior is similar to the behavior in AX 4.0, and that is to say that after posting, the inventory transactions do not reference an output order.
It the End output inventory order parameter is not selected, the reference between the output order and inventory transactions is not removed and a new picking route can be created from the Open output orders form.
When the picking list is posted, the status of the picking lines and the inventory transactions changes.
In AX 2009, there are no separate tables to store picking list journal and picking list registration data.
Differences from a code perspective
In AX 2009, picking is handled using the WMS module and several classes and tables prefixed with WMS are used. This means that several tables are controlled by the LogisticsAdvanced configuration key rather than by the WMSAdvanced configuration key as in AX 4.0.

About sales order posting
Use the Inventory posting form to control the following sales order posting accounts:
· Packing slip
· Packing slip offset
· Issue
· Consumption
· Revenue
· Discount
· Commission
· Commission offset

· Packing slip tax
When you create an order line (On order status), an inventory transaction is generated with the quantity specified, but without any financial value.
When you update the packing slip for the item (Deducted status), transactions based on the items cost at the time the packing slip is updated are generated in the packing slip account, and the packing slip offset account, in connection with the packing slip update.
In order for the posting to occur, you must select two setup check boxes:
1. Post physical inventory (Inventory management > Setup > Inventory > Inventory model groups > Setup tab).
2. Post packing slip in ledger (Accounts receivable > Setup > Parameters > Updates tab).
When you invoice-update (Sold status) the item, the two packing slip transactions are reversed. The items cost is credited to the account for inventory issues, and the account for item consumption is debited.
The item sale, excluding any taxes, such as sales tax, is credited to the revenue account. Tax is credits to the tax codes account. The sale, including any taxes such as sales tax, is debited from the customer summary account as set up in the customer's posting profile.
· For Discount, the sales order is posted before the line discount is deducted, and the line discount is debited in the account for discounts. If no account is specified for discounts, the revenue is posted after the line discount is deducted, and the latter is not recorded directly in a ledger account.
· For Commission, a commission account, and a commission offset account are created. These accounts provide an overview of the ledger-posting of commissions. When you invoice-update a sales order, the commission on the posted amount is debited from the commission account and credited to the commission offset account.

About purchase order posting
By using the Inventory posting form, you can control the following purchase order posting accounts:
· Packing slip
· Packing slip offset
· Receipt
· Consumption
· Discount
· Fixed receipt price profit
· Fixed receipt price loss
· Fixed receipt price offset
· Charge
· Stock variation
· Packing slip purchase
· Packing slip purchase offset
· Packing slip tax
· Fixed asset receipt
When you create a purchase line (Ordered status), an inventory transaction is generated with the quantity specified, but without any financial value.
When the item is received (Received status), transactions based on the items' cost as recorded in the purchase line are generated in the packing slip account, and the same transactions are reflected in the packing slip offset account for the packing slip update.
For the posting to occur, you must select two setup check boxes:
1. Post physical inventory (Inventory management > Setup, Inventory > Inventory model groups > Setup tab).
2. Post packing slip in ledger (Accounts receivable > Setup > Parameters > Updates tab).
When you update the invoice for the item (Purchased status), the two packing slip transactions are reversed. For an item not using standard cost, the item's true cost is debited from the inventory receipt account. Any tax is debited in the tax code account, and item purchases, including tax, are credited to the vendor summary account according to the setup in the supplier's posting profile.
For items with a standard cost, transactions are made based on the standard cost specified in the Price field on the Price/Discount tab on the Inventory table. The difference between the real cost and the standard cost is posted in the standard accounts for gains and losses.
If an account for discounts is indicated, the purchase posts before the line discount is deducted, and the line discount will be credited in the separate account for discounts. If you do not specify an account for the line discount, the inventory receipt is posted after the line discount is deducted, and the latter is not recorded directly in a ledger account.
To specify that a purchase is for the internal use of a fixed asset, use the Fixed asset receipt option.

About inventory posting
Microsoft Dynamics AX provides control over the following inventory posting accounts:
· Fixed receipt price profit
· Fixed receipt price loss
· Issue
· Loss
· Receipt
· Profit
· Fixed asset issue
You can generate transactions for inventory profits and losses when you record transactions in the inventory, for example, in a profit/loss journal. For inventory profits, the receipts account is debited, and the account for inventory gains is credited. For inventory losses, the issues account is credited and the account for inventory gains is debited.

About production posting
Production posting activities follow the production process.
· As items are consumed during production they are recorded in the production order. This process generates issue transactions to make up for the missing raw materials.
· As the materials are consumed, they are posted to both the Picking list issue account and the Picking list offset account.
When the production is reported as finished, a receipt transaction is posted to the finished item. The cost calculated for the finished item is then posted to both the Report as finished receipt account and the Reported as finished offset account.
Finally, when production is complete, all accounts are updated with the final calculations. The raw materials that were actually consumed are credited to the account tracking inventory issues and debited from the account tracking item consumption. The overall cost of the finished item is debited from the inventory Receipt account and credited to the inventory Issues account.

Basic steps to up gradation from AX 4.0 to AX 2009(Test Environment)

1. Create an Empty Database (Test_AX2009)
2. Restore AX 4.0 Backup in “Test_AX2009”
3. Copy all Existing AX 4.0 Layers to any other folder. These can be copied from (C:\Program Files\Microsoft Dynamics\40\Applications\App\Standard)
4. Install AX 2009 application (Installation is simple)
a. Database (Select Existing Database and point to “Test_AX2009”)
b. AOS (Do not run AOS Service)
c. Client
5. Delete SysSetupLog Table Entries – (This is main Problem I was facing – which does not let AOS to start in coming steps)
6. Copy back the Application Layer Files to AX 2009 Application Directory (C:\Program Files\Microsoft Dynamics\50\Applications\App\{Instance Name})
7. Delete Index file from C:\Program Files\Microsoft Dynamics\50\Applications\App\{Instance Name}\axapd.aoi)
8. Execute the Attached Script file in the SQL Studio
9. Start AOS Service
10. Run Client
11. Upgrade Check list will open.
12. Go through by all simple checklist.
13. Take Back up DB “Test_AX2009” after Executing Pre-Synchronize Step in CheckList.
14. If you DB has some errors, you will face them in Post-Synchronize Step. Like I faced the following:

Unit Conversion Does not Exist
Record already exist in EPWEBSITE Table
To resolve the errors, you can access Tables through AOT and add missing records.
You have to remove all errors, otherwise Post-Synchronize step will not complete.

15. Pre Synchronize, Synchronize and Post- Synchronize is for entire database, not only for your company. If any error in Contoso Company, you have to remove them as well. Even I got 3 errors in DAT Company.

Integration Process

Rebates and Trade Merchandise Spending
Many process manufacturers, especially those in consumer packaged goods and commodity industries, use rebates and trade spending programs to promote their products. Process Industries for Microsoft Dynamics AX provides users with effective tools to monitor and manage these promotional programs.

Process Industries for Microsoft Dynamics AX calculates rebates in the same way it calculates sales commissions. However, the system credits the amount to the customer rather than to the salesperson. In most cases rebates are cash payments or discounts taken against a customer’s invoice. On the other hand, trade merchandise spending programs usually involve an amount of money accrued by a customer to be spent for events and promotional items.

Rebates are typically defined by a customer code and item code, and can be calculated in several ways:

Amount per kilo or pound
Amount per case
Percent of sale

Rebates are calculated at invoicing, posted to the general ledger, and accrued. Rebate amounts are not shown on the customer invoice, but the rebate can be paid to the customer in the form of an account credit or a cash payment. Trade and Merchandise Allowances

In most rebate and trade promotion programs, the manufacturer pays different customers in different ways. Some customers will have the rebates or merchandising allowances credited to their accounts, while others will request direct payment.

Lot Management
Many process manufacturers need extensive lot management capabilities. Lot management functionality in Process Industries for Microsoft Dynamics AX goes well beyond simple lot tracking. For example, process manufacturers must be able to track materials:

From a specific supplier
As intermediate and finished goods
When created during production
As sold to specific customers

Production Date Tracking
For accurate reporting and tracking, Process Industries for Microsoft Dynamics AX captures the production date, as well as the lot number, of raw materials received from a specific vendor.

Using the production date of each raw material or finished good, the system calculates the shelf life of the given lot. Process Industries for Microsoft Dynamics AX can also manage shelf advice date (for example, “best before” date), and the retest date for every lot of a particular product. (Often a product must be retested on a regular basis to ensure the quality of the product is still acceptable.)

Production date and shelf life are used to determine which lots to pick, employing either first in/first out (FIFO) or first expired/first out (FEFO) rules.

Lot Picking Options
In process manufacturing, different lots of the same product can have different chemical attributes. Consequently, when a customer reorders a given item for the same use, the product from the original lot must be sold or used in production to ensure the identical result. Process Industries for Microsoft Dynamics AX enables the user to specify whether the material or product may come from any lot, must come from a full lot, or must come from the same lot that was shipped to the customer on the last order. As a result, the customers can request a specific lot to match specifications and parameters used in previous orders.

Although most manufacturers provide their customers with specifications for standard products, some customers order products with more precise requirements or formulas that differ slightly from the standard formula or recipe. To fulfill these orders, the manufacturer either must produce a special lot that meets the customer’s request exactly or find a lot already in inventory that meets those requirements. If a lot meeting the customer’s needs is already in inventory, locating and pulling it to fulfill the customer order usually is quicker and more cost-effective than producing a special lot. Process Industries for Microsoft Dynamics AX helps the manufacturer maintain exact lot location information and accurate specifications by lot, making it easy to quickly determine if a lot meeting the customer’s requested specifications is in stock or whether one must be planned and produced.

Shelf Life Management
Process manufacturers manage shelf life and the selection of products for sale or use in several ways:

Best Before (“best if used before the given date”)

With Process Industries for Microsoft Dynamics AX, manufacturers can choose a picking option and link that option to the quality control (QC) system for each product. By using this capability, those lots that have been tested and those requiring retesting because they have been on the inventory floor too long can be quickly identified. Managing material shelf life helps ensure that products used or shipped still conform to specifications and have not changed or degraded over time or from exposure to air, moisture, or other environmental factors.

Lot Disposition and Status with Quarantine Management
With Process Industries for Microsoft Dynamics AX, the user can specify one of two main inventory dispositions—available or unavailable—for a given lot, and then define multiple statuses per disposition.

A product is considered unavailable in Process Industries for Microsoft Dynamics AX after the lot has been moved to a quarantine area or designated as quarantined. Users can define multiple quarantine areas within a warehouse, such as separate testing or damaged goods locations. After a lot has been quarantined and flagged as unavailable, the user can record multiple reasons why the particular lot was quarantined.

Returned
Damaged

Tracking lot status provides manufacturers with information about why a product is unavailable and supports correct disposition decisions based on whether the lot is simply waiting for testing to be finished or has been tested and failed.

1. Public Speaking: Conquer fear with a game plan

Podiums disconnect you from the audience. Grab the mike and wander the stage.
Eye contact is your friend. Looking at people one by one shrinks the room.
Questions If you're stumped, talk about your team: "We're lucky to have an expert on that. I'll get you in touch with him later.

2. Negotiating Skills: Using the right phrases matters

How did you come up with that number? Opens a window into the other side's thoughts.
Let me check with my wife. Or husband, or boss. Stops you from saying yes prematurely.
If things change, give me a call. Put the burden on them.

3. Memory Skills: Never confuse Mohammed with Hamed again

Introduce yourself first so you can focus on the other person.
Connect the name to your brain. When you meet a guy named Faisal, think of other Faisals you know.
Use the name three times. Once to confirm you have the name right, then in mid-conversation, and again when you say good-bye.

Among the seven suggestions: Respond to e-mails within 24 hours. And don't use business cards as cues to bombard new contacts with pitches.

Here are seven rules that will guarantee a strong first impression and a powerful, lasting one.

Rule #1: Respond within 24 Hours

During the course of researching my next book, I came across an interesting trend. The people who run the most successful companies are the most responsive. When I leave a voice message or send an e-mail these individuals get back to me immediately with information, whether they're at the office or traveling. One woman who oversees 5,000 employees makes it a policy to respond to e-mail within 24 hours. She says her responsiveness provides a model for her employees. If she responds quickly to employee questions or concerns, they in turn understand the importance of getting back to customers in a short amount of time.

Even if you don't have an immediate answer, acknowledge receiving an e-mail or voice message within 24 hours or less, and let the person know you're considering the request or taking action on it.

Rule #2: Greet People with Enthusiasm

When a customer or employee calls and you choose to answer, it implies that you have time to talk. Far too many people continue to multitask during phone conversations. Those of us on the other end of the line can sense it, especially when you give one-word answers to our questions and we hear typing in the background!

Give your customers and employees your full attention. Greet them like you're sincerely excited to hear from them. And if the time isn't right, be professional enough to set a later time to give them your full attention.

Rule #3: Make Eye Contact

In conversations with customers or employees, look them in the eye. I know you might love your Blackberry, but please refrain from checking your device during the conversation. Think about how it makes you feel when the person you're talking to continually takes her eyes off you to check out other people in the room. I'll tell you how I feel—like it's a waste of time to even finish the conversation.

Give customers and employees your full attention. It makes people feel as though their opinions and insights are valued. It will help you make a powerful and lasting impression.

Rule #4: Leave Smart Voice Messages

First of all, don't leave long, rambling messages with your phone number at the end. Keep the script concise. Leave your name, time you called, and phone number at the beginning. Repeat the phone number at the end, s-l-o-w-l-y. There's also nothing worse than a drawn out game of phone tag. It can't hurt to leave a specific time when you can be reached. Of course, if you leave a time, be there to answer the call!

Rule #5: Respect Contacts

A conference organizer recently told me attendees have started complaining about fellow participants who treat business cards they have picked up at booths as open invitations to cram in-boxes with solicitations. If someone gives you a card, it's an invitation to begin a conversation. It isn't permission to leave a constant bombardment of e-mail sales pitches under the guise of "newsletters." It's also not an invitation to send 10-MB files that explain what your business does.

Rule #6: Mind Your E-Mail

Speaking of e-mail, keep your correspondence concise. Time is limited. Use a subject line with no more than three to five words that grab your reader's attention. Give the pertinent information in the first line or two, and keep your correspondence to one or two short paragraphs (unless of course a detailed memorandum is expected). Also, don't forget to use proper punctuation and grammar. The spell-check function exists on your computer for a reason. Use it.

Rule #7: Remember Small Touches

When was the last time you received a handwritten note? I bet you remember it. I do. After a brief conversation with the chief executive officer of a well-known franchisor, I was surprised to receive an envelope in the mail with a short handwritten thank-you note along with several coupons for his product. The coupons were for small amounts, but the gesture left a big impression on me.

My insurance and financial planning adviser gets plenty of business from me because of numerous, small touches during the year. Several times a year I can expect to receive a handwritten note, a short voice message, or a copy of an article that I might find valuable given what he knows about my interests. None of these touches are accompanied by a hard sell, but I wouldn't consider bringing my business to anyone else.

Business is far too competitive to risk making a bad impression. But it's not that hard to make a positive one. Just think about the way you like to be treated as a client. Follow these seven rules to stand apart.

As mentioned in Microsoft Dynamics AX 2009 Components, Dynamics AX 2009 is a lot more than just AX Application, AOS and client. It has also expanded externally with integration to various other technologies to achieve its objectives.

As a result, installing Microsoft Dynamics AX 2009 requires more than the installation DVD. This post will provide you with an overview of the software components and their download sources to get you better prepared for the installation.

Some of the components presented below do come in the form of DVD if your company subscribe for them. If you have such luxury, browse through your DVD set to secure them before you set off to install Microsoft Dynamics AX 2009. Otherwise, you might have to spend a day or more to get all of them downloaded.

Microsoft Dynamics AX 2009 Release DVD ISO

The most important part is of course the installation DVD itself. You may download the Microsoft Dynamics 2009 Release May Edition DVD ISO file (1.7 GB in size) from PartnerSource as discussed earlier. As far as I am concerned, no physical media should be expected until mid July 2008 when the translation of help topics is scheduled to complete. The DVD ISO file seems to be the only option at the moment.

Since it is in ISO format, you may use any Virtual DVD software to mount it as a DVD disc to use it directly or to extract the files to a physical location. On top of that, you may also burn it into a physical DVD. If you are installing on virtual machines instead, you could load it to the optical drive with ease. All virtual machine platforms I know supports ISO image, be it Microsoft Virtual PC, Virtual Server, VMWare or VirtualBox.

Microsoft .NET Framework 3.5

Microsoft Dynamics AX 2009 utilized the latest features from Windows Presentation Foundation, etc. You need to install Microsoft .NET Framework 3.5 before you are able to install Microsoft Dynamics AX 2009. The table bellow shows the options you have to get the .NET Framework 3.5 installed. Pick one that suits your need best.

The Live Installer (bootstrapper) is meant for installation with Internet connection. It will evaluate your system to identify further download required. The installation will requires additional file download of 50 - 200 MB depending on how up to date your system is. This is the better choice for single installation. You will usually end up downloading less than the full package.

The Full Package on the other hand is meant for mass deployment. The download consists of all the files necessary to install the .NET Framework 3.5. You may also want to pick this option if you would like to share the file with other associates.

Service Pack 2 for Microsoft SQL Server 2005

If you are hosting your Dynamics AX 2009 data with Microsoft SQL Server 2005, you will need Service Pack 2 or later. This service pack has been released for over a year. In case you have not updated your Microsoft SQL Server 2005 to SP2, you may download the update at Microsoft Download: SQL Server 2005 SP2.

This package contains update for all the components of Microsoft SQL Server 2005 including the database server, Analysis Services, Reporting Services, etc. They are all required for Microsoft Dynamics AX 2009 installation.

Dynamics AX 2009 Demo Data

There is no official demo data available for Dynamics AX 2009 Release yet. The closest we could find is the demo data for AX 2009 CTP3 VPC version 2. This download is in the form of Microsoft SQL Server database backup instead of the usual Dynamics AX data import file we are familiar with. In order to use this data, you will not have to install the database option in the setup. You should restore this backup as a Microsoft SQL Server database and install the application and AOS to connect to it.

I notice a lot of associates are searching for Dynamics AX 2009 license. If you install with this demo database, you will have the demo license which last until August 31, 2008. This could be a good option in case you have not got the partner license file.

Microsoft Visual Studio 2008 Shell (isolated mode) Redistributable Package

This package is required for the Reporting Extension to work. There are two Microsoft Visual Studio 2008 Shell redistributable package; isolated and integrated. Make sure you are having the isolated package.

Whenever the conversation turns to changing or upgrading ERP systems, the question seemingly on the tip of everyone's tongue has to do with ROI: "How am I going to get a return on my investment and how soon can I expect it?" I think it's safe to say that since its introduction over the summer, Microsoft Dynamics AX 2009 has been well received. But interest and buzz aren't enough to quell those persistent fears that attaining ROI from an ERP system just isn't a reality.

As a provider of document process automation solutions, we've had the opportunity to work with a number of Microsoft Business Solutions Partners in an effort to help their clients extend the value of a Dynamics AX investment. So this month, I thought we'd take a different approach to this column, and share an interview my colleague Jon Rivers recently conducted on the topic of ROI as it relates to AX 2009 with Dave Weiner, Dynamics AX Division President of New York City-based Cole Systems Associates.

Q: Dave, given your experience with Microsoft Dynamics AX, what would you estimate to be the length of time required for an organization to realize a return on their investment?

With the right approach, I believe companies using Microsoft Dynamics AX can attain a return on their investment in 12 months or less. Our organization, for example, has successfully applied a pre- and post-implementation process that enables us to develop and track specific metrics with our customers that we ultimately use to measure ROI.

For instance, at the beginning of the process we work closely with our clients to create a business case around Microsoft Dynamics AX, taking into consideration the client-identified value opportunities (i.e. re-allocation of headcount, improvement of the cash-to-cash cycle, etc.) and comparing those goals to benchmarks we've established with other clients. This type of approach allows us to calculate an anticipated ROI from which we can measure results at the conclusion of the implementation. It also allows stake holders on both sides to fully understand the project's success metrics.

Q: Reducing costs and improving performance continue to be business priorities. For organizations implementing AX 2009, how do you think new features such as Role Centers and the BI framework will impact return on investment?

The beauty of the role-tailored client is that it's available straight out of the box. Plus the use of 32 different ‘personas' featured in the Role Centers ensures that everyone within an organization will be able to identify with at least one of the roles from day one. In the past, it would take weeks, and even months in some cases, to build a similar environment in which you could put relevant information at a user's fingertips so quickly.

The workflow component of the Role Centers also has a positive impact on ROI because it helps to bring tasks forward, enabling users to create a work-ready list of activities, for them to better understand what tasks need to be addressed next and which tasks have fallen behind the intended completion date.

Q: How critical is the new role-tailored client in supporting an organization's goal of ensuring that core business units are as productive as possible?

For many organizations today, having the ability to view business-critical information in real-time is a top priority. With the role-tailored client, AX 2009 users are able to make better, more informed decisions because the data most relevant to their roles is at their fingertips. Q: What do you think are some best practice approaches businesses should be adopting in order to maximize success with AX?

Implementing an ERP is no small task. It requires expertise and dedicated resources, which is why most companies chose to work with a consulting firm. When it comes to choosing a consulting firm, I can't stress enough the importance of identifying one that can demonstrate their knowledge of not only AX but of the customer's specific industry, and provide multiple reference customers.

I also recommend to our clients that they explore the use of certified third-party products. For all of the business benefits associated with AX, there are functionality gaps where a proven third-party product can help accelerate implementation time, improve existing business processes and reduce risk. A perfect example is using a document process automation solution to enhance reporting.

Typically, improving the look and feel of a document such as an invoice or account statement requires extensive custom programming. In addition to the Role Centers and BI framework, another highlight of AX 2009 is the Compliance Center. Companies that have been through any type of compliance audit can attest to the time and resources required to gather the necessary data. With this feature, users gain the ability to create a full audit trail, which will allow them to more quickly comply with different regulatory mandates, such as Sarbanes-Oxley. Incidentally, compliance is also an area where third-party document process automation solutions can provide additional capabilities. Being able to transition away from paper-based documents opens the door for greater visibility into historical business information.

Achieving a return on investment from an ERP implementation is perhaps one of the most difficult business challenges any IT/IS team faces.
